Adding Your Photographs to Sims

Download Photographs for Your Database
Go to https://www.photoordering.co.uk/webarchive/
Select the 'Go to the pictures' option

You will have previously been sent a system generated email invitiation to register an account. Use those details to login.
If you cannot remember your login details please call the office on 01255 242200 for more help

Once you have successfully logged in you will see a list of photoshoots.
Select the photoshoot you wish to download images from.

Once this has displayed on your screen click on the three lines (Menu Button) on on the top right of the page and select 'Downloads' from the list the appears.

You will now have a list of all the classes/groups that are available to download. Select or deselect the classes/groups you wish to download using the tick boxes.

Once you have selected your classes/groups for download, click on the 'Download type' box and select the 'Pictures for school admin' option.

Now click on the Administration System box and from the list that appears choose choose the admin system you use at your school by clicking on the circle to right of the name of that admin system.

Finally, click on the download button that appears and a .zip file will be saved to your computer. Please extract the images of the .zip file so you can upload them into your admin system.

We understand how safety and child protection is for schools when choosing photographers to work in close proximity and interacting with children. All our photographers have a valid enhanced DBS certificate which we can provide on request.
If you would like to request a copy for the photographer visiting your school please email admin@sbsdigital.co.uk
Child Protection Policy
Statement of Intent
The company recognises that all children, young people and vulnerable adults regardless of age, disability, gender racial heritage, religious belief or sexual orientation or identity have the right to protection from harm and abuse. The Company shall take all steps that are reasonably practicable, to comply with the Criminal Justice and Court Services Act 2000 and all other relevant Acts and Regulations. The Company shall monitor the conduct of staff to identify any inappropriate¡ate behavior and shall act accordingly and if necessary in accordance with its disciplinary procedures.
Staff Engagement
The Company shall not allow staff or contractors to have access to children, young people and vulnerable adults where there is any knowledge of that person or persons having any criminal conviction involving children or who are disqualified from working with children. The Company will remind all employees of their duty to disclose any such information, as required by the Criminal Justice and Court Services Act 2000.
Conduct within the school environment
All SBS staff working with school pupils have responsibility for the safeguarding and protection of pupils. All staff must remember that the welfare of children is the paramount consideration.
• You must adopt high standards of personal conduct when working within schools.
• You must behave in a manner which is a role model to pupils.
• You must not discuss or make inappropriate or insensitive remarks to pupils.
• You should avoid confrontational, demeaning or humiliating behaviour.
• You should treat information about pupils in a confidential and discreet way.
• You should not promise any pupil confidentiality if they wish to tell you something or disclose information of a sensitive nature to you.
• You should be aware that even well intentioned physical contact might be misconstrued.
• You should avoid physical contact not connected directly and appropriate to posing pupils for photographs. Pupils should be asked their permission prior to posing them and in-line with SBS training guidelines. No physical contact of the body, below the head or above knee height.
• Avoid where possible one to one situations. If this is not possible in the situation then inform a member of the school staff.
• Always report any signs of concern, distress or anger to member of the school staff immediately.
• You should avoid any conduct which would lead to a reasonable person questioning motivation and intentions.
• You are responsible for your own actions and behaviour.
• You should not give out personal telephone or mobile phone numbers; email or home addresses; or personal networking sites.
If you have any concerns about the welfare or safety of any young person while in a school, you should immediately contact the Headteacher or person responsible for Safeguarding.
Incident Procedures
The Company shall keep a dedicated log of all written and oral statements, along with a record of relevant telephone conversations, in the event of an incident or allegation under this policy. ln the case of a child, young person or a vulnerable adult on work experience or training this information will be immediately passed on to the learner's educational institution or primary carer as appropriate. The Company and staff shall treat all incidents with absolute confidentiality. The Company shall comply with the Data Protection Act 1998 for the safe and secure storage of all information relating to children's personal details, or details resulting from any incident or allegation arising within the scope of this policy.
Monitoring and Review
This policy shall be monitored for effectiveness and shall be reviewed when :-
1. There has been an incident, whether the allegation is proved or not
2. There is a change in the legislation
3. There is a major company re-organisation
The Company will ensure that all staff having contact with children, young people and vulnerable adults are made aware of, understand, and act on this policy and are familiar with the accompanying guidelines.

How to Upload a Name List for Your Photo Shoot

Information regarding server security provided by our software partner Netlife AS (org. nr 983 501 605).
To get a fully controlled and monitored environment, and to provide the uptime and the reliability necessary for the service, Netlife have built their own dedicated server rack, where all data is stored. They do not use cloud based storage based on third party suppliers like Amazon.
"Netlife store all data in a server center which is located in a massive u-boat bunker in Norway. This bunker is also used by other national and international telcos and the national archive of Norway. Access to the bunker is secured with 24-hour manned security, biometric access & intruder alarms. We have electronic access control systems with per-rack resolution and camera monitoring. The servers are also protected with automatic non-destructive fire suppression. The data center has currently a Tier 2-3 certification.
A highly over-dimensioned power supply with high-quality redundant UPS systems and diesel generators, will together protect against any data crash due to loss of power.
As an additional protective layer against data loss and disasters, Netlife store an additional copy of all data in a different safe location."
Making School Photography Effortless for You
Making School Photography Effortless
We have been making school photography effortless for the past year and we are able to offer you three options to get your school photographs done in a safe manner this term.
Whichever option you choose you will not have to hand out proofs, collect or chase payments, or hand out parents orders! We will handle everything whilst offering parents free delivery to their home address for their orders. We allow parents to view and share the images of their children for free, plus they can mix and photo packs of siblings, even across different schools if we have taken the photographs. All through our GDPR complaint website.
Option one is effortless and paperless. All we need you to do is supply us with parents email addresses on the names list which is all within GDPR guidelines if you have the parents consent to share them.
Option two is paperless. If you don't have consent to share email addresses, we could send you the codes on a spreadsheet for you to pass on to the parents using the school communication tools.
Option three is effortless. Codes are given out to the children on shoot day to take home to parents. We then handle everything else.
Whichever option you chose you will still get:

Our COVID 19 Risk Assessment
School Photographers August 2020
The controls/measures below have been put in place after evaluating the risk to our photographers working in schools in respect of the Coronavirus and to eliminate/reduce the potential for infected persons entering school premises, contamination of surfaces, and to maintain social distancing practices according to both the premises and the tasks undertaken by the photographers. Photographers are requested to bring to the management teams attention any such tasks they consider should be included in this risk assessment.
Risk Factor – Contact with infected persons
Photographers will be required to submit a COVID 19 Daily Health Check Declaration on the morning of any school visit that they declare and confirm to the best of their knowledge and belief that on that date:
1. They do not have a new continuous cough;
2. They do not have a temperature;
3. They have not lost my sense of taste or smell;
4. They do not feel generally unwell;
5. They do not share a home with anyone who is self-isolating;
6. They have not come into contact with anyone who is now confirmed or suspected to be positive for Covid-19; and
7. They have not been contacted by NHS track and trace service.
If a photographer displays symptoms or starts to feel unwell during a shoot, they should stop work immediately and advise a member of the school staff.
Risk Factor – Proximity to other staff and pupils
Social distancing measures should be maintained in all parts of the workplace wherever possible.
Where possible reasonable attempts should be made to create a barrier, such as using a desk, between the photographer and the subject to minimise any risk of contact. As shown in the examples below.
Where possible all subjects should be photographed standing rather than sitting. Where posing stools are needed for younger children the schools guidelines should be followed with regard to cleaning.
Risk Factor – Contaminated and potentially contaminated surfaces
Photographers must maintain hygiene standards as per government guidelines in hand washing.
Photographers will be responsible for cleaning their equipment before and after each shoot.
There will be no sharing of equipment. If more than one photographer is required to move equipment gloves & masks must be used.

Our software partner Netlife AS (org nr.983 501 605) are to be considered as a processor and are responsible for processing personal data on behalf of Stanley Baker Studios Limited as a controller. Development of the platform is always be based on the ‘data protection by design and by default” principle. The controller determines the purposes and means of processing personal data.
The GDPR includes the following rights for individuals and you will find information on how the software platform is compliant with these rights below:
- the right to be informed;
- the right of access;
- the right to rectification;
- the right to erasure;
- the right to restrict processing;
- the right to data portability;
- the right to object;
- and the right not to be subject to automated decision-making including profiling:
The right to be informed
Individuals have the right to be informed about the collection and use of their personal data. This is a key transparency requirement under the GDPR.
In our privacy policy we inform about the purposes for processing personal data, the retention periods for that personal data, and who it will be shared with.
Our privacy policy is always visual in the webshop both as short link in the footer and also as a pop-up together with the cookie warning.
The right of access
Individuals have the right to access their personal data and supplementary information.
The right of access allows individuals to be aware of and verify the lawfulness of the processing.
In the users "my account" section in the webshop, the user can easilly download a .zip file containing a full copy of all data we hold on them.
The right to rectification
Under Article 16 of the GDPR individuals have the right to have inaccurate personal data rectified. An individual may also be able to have incomplete personal data completed.
The user can at any time get access to - and edit their info in the “my account” section.
The right to erasure/be forgotten
Under Article 17 of the GDPR individuals have the right to have personal data erased. This is also known as the ‘right to be forgotten’.
The user will at any time get access to the “delete me” feature in the “my account” section in the webshop. If they press this button, their user account will be “frozen” and inactivated. If they regret, they can reactivate their account within 30 days. After 30 days the user account and all data stored on their account will be erased.
The right to restrict processing
Article 18 of the GDPR gives individuals the right to restrict the processing of their personal data in certain circumstances. This means that an individual can limit the way that an organization uses their data. This is an alternative to requesting the erasure of their data.
In the users “my account” they can select to stop all reminders on both desktop and mobile.
The right to data portability
The right to data portability gives individuals the right to receive personal data they have provided to a controller in a structured, commonly used and machine-readable format. It also gives them the right to request that a controller transmits this data directly to another controller.
The content in the .zip file downloaded with data stored can be sent to the third party. But since we have the copyright to the pictures, we are not committed to transfer these to a new controller.
The right to object
Individuals have the right to object to processing based on legitimate interests or the performance of a task in the public interest/exercise of official authority (including profiling); direct marketing (including profiling); and processing for purposes of scientific/historical research and statistics.
The user needs to actively opt-in to receive communication related to pure marketing of services when they create an account. In the users “my account” they can select to stop all reminders and preventing us from contacting them with sales related communication. Communciation related to gallery access, including reminders is not considered as marketing.
Cookie warning
We will display a warning in the webpage footer regarding the use of cookies, where the user needs to accept before continuing to register an account. Users can at any time read more about how the cookies are used on a dedicated system webpage with a direct link in the webshop footer.

Photoordering. ("Service" or "System"), is an internet based photographic sales system operated by Stanley Baker Studios Ltd, ("we" or "us") of SBS House, Tyler Street, Parkeston, Harwich, Essex CO12 4SB (Company number 01800855). The Internet web site provides access to the Photoordering System, and laid out below are the terms and conditions of use for the Service. The web site may only be used in accordance with these terms.The terms laid out below govern the relationship between you as a user ("you or user") and Stanley Baker Studios Ltd. The web site, and the services provided through the web site, can only be used if you agree to these terms.
1. General Terms
1.0 Purchase Terms
These purchase terms ("Purchase Terms") comprise a binding contract between you as a user of the Photoordering Service and Stanley Baker Studios Ltd for the purchase of photographic products (“Products”)
1.1 Legal Document
Please read these Purchase Terms carefully because they form a legal document. By submitting an order to the Photoordering system, you agree to be bound with Stanley Baker Studios Ltd by these Purchase Terms. If you do not wish to accept these Purchase Terms, you should not submit an order.
1.2 Local Law
Those who choose to access this Service from any location outside the UK are solely responsible for compliance with Local Law if, and to the extent that, it is applicable. In this case, you agree that, by you agreeing to these Purchase Terms with Stanley Baker Studios Ltd, you waive any consumer rights you have which are capable of being waived under your Local Law and that these Purchase Terms are the only terms and conditions that apply between you and Stanley Baker Studios Ltd in respect of your use of the Service and the supply by Stanley Baker Studios Ltd of your Products.
2. Purchase Terms
2.0 Display
By the display and description of this Service, Stanley Baker Studios Ltd does not necessarily agree to process your order and supply your Products at the prices specified.
2.1 Binding Contract
These Purchase Terms will not form a binding contract between you and Stanley Baker Studios Ltd for the purchase and supply of the Products, until the following conditions have been met:
a. You have submitted an offer to buy certain Products using the order facility provided; and
b. Stanley Baker Studios Ltd notifies you by e-mail that your order for Products has been accepted and Stanley Baker Studios Ltd agrees to supply the Products to you, provided that you have supplied Stanley Baker Studios Ltd with an e-mail address for the reply. If you fill in the e-mail field when you make an order, you will receive a confirmation by e-mail. This should be immediate.
2.2 Loss or Damage
Stanley Baker Studios Ltd will not be responsible for any consequential loss or damage, howsoever arising, as a result of a failure, refusal or inability by Stanley Baker Studios Ltd to fulfil an order.
3. Price and Specification of Products
3.0 Prices and Taxes
All prices quoted include United Kingdom Value Added Tax ("VAT"), at the applicable rate. There is a separate VAT inclusive postage and packaging charge and this is listed with the price and specification of the Products. The total cost is the "Purchase Price". Stanley Baker Studios Ltd shall not be liable for any other sales taxes, customs or import duties or other taxes, which may be imposed on you by any relevant taxing authority. You are responsible for any such taxes.
3.1 Tax Free
If by nature of where you live you are able to purchase Products free of tax, or are able to reclaim tax, you must contact Stanley Baker Studios Ltd before you make your purchase. Once an order has been placed, and payment made, Stanley Baker Studios cannot enter into any correspondence or dialogue regarding tax issues.
3.2 Change
All Purchase Prices and specifications of Products are subject to change without notice, except where Stanley Baker Studios Ltd has accepted your order and agreed to deliver the Products to you in accordance with Clause 2.1.
3.3 Payment
The Purchase Price payable for Products must be paid in advance by a secure payment authorisation bureau chosen by Stanley Baker Studios Ltd.
Stanley Baker Studios Ltd retain the right to check with your card provider and/or any credit reference agency or bank to confirm whether or not you are able to pay the Purchase Price. Stanley Baker Studios Ltd has the right to refuse your order at their discretion.
4. Delivery of Products
4.0 Delivery
All Products will be delivered to you at the UK address given during the order process, within the service time frame specified, upon your order being accepted by Stanley Baker Studios Ltd, pursuant to Clause 2.1 above, unless an alternative time frame is notified to you by Stanley Baker Studios Ltd prior to the expiry of a 5 working day period. For delivery outside of the UK, please contact our support team prior to placing an order. Any orders created with non-UK delivery addresses will be refunded without prior notification.
4.1 Estimate
Notwithstanding Clause 4.0, the time of delivery is an estimate only and Stanley Baker Studios Ltd, shall not be liable for any late delivery of the Products or any consequential loss or damage caused as a result.
5. Returns Policy
5.0 Returns
In the event that the Products are damaged or defective when you receive them, or do not match the description specified in the Service, you will be entitled to return the Products to Stanley Baker Studios Ltd, within 14 days of receipt by you. In those circumstances, Stanley Baker Studios Ltd, will either reprint the Products or provide a full refund of the Purchase Price.
5.1 Not Faulty
In the event that you return any Products to Stanley Baker Studios Ltd, in accordance with Clause 5.0, and Stanley Baker Studios Ltd, can demonstrate that they were not faulty when received by you, Stanley Baker Studios Ltd, reserves the right to return the Products to you and to claim the cost of such return postage from you.
6. Duration of Purchase Terms and Termination
6.0 Duration
These Purchase Terms are binding upon you when you accept them in accordance with Clause 2 and they will remain in force until both parties have performed their obligations under these Purchase Terms or either party breaches its obligations under these Purchase Terms.
6.1 Termination
Termination in accordance with this Clause 6.0 shall not prejudice or affect any right of action or remedy, which shall have accrued or shall thereafter accrue to either party.
7. Stanley Baker Studios Ltd's Responsibilities
7.0 Security
Stanley Baker Studios Ltd undertakes to use commercially reasonable endeavours to prevent breaches of security of the Service (including the credit card details provided by you when you submit an order for any Products), and to use reasonable endeavours to ensure that any Stanley Baker Studios Ltd suppliers, subcontractors or agents comply with this Clause.
7.1 Response
Stanley Baker Studios Ltd will use reasonable endeavours to respond to your order within the stated time.
7.2 'As Is'
The service is provided on an 'as is' and 'as available' basis, and Stanley Baker Studios Ltd makes no representation or warranty that the Service offered will be accessible, or useable by you, or error free.
7.3 Suspend or Alter
Stanley Baker Studios Ltd reserves the right, at its sole discretion, to suspend or alter the operation of the Service for legal, technical or any other reason. Stanley Baker Studios Ltd will give as much notice as possible prior to taking any of the actions described in this Clause, but prior notice may not always be feasible.
8. User's Responsibilities
8.0 Authorised Owner
You warrant that you are the proper authorised owner of the payment details of which you supply to Stanley Baker Studios Ltd's payment authorisation bureau when using the System.
8.1 Accurate Information
You warrant that all information given by you in your use of this Service is accurate and not misleading and that you will not use this Service:
a. for any fraudulent or illegal purposes
b. for the transmission or posting of any computer viruses or any material which is defamatory, offensive or of an obscene or menacing character, or in such a way as to cause annoyance, inconvenience or needless anxiety. You agree that you will be liable for any action taken against Stanley Baker Studios Ltd or against you in relation to such use; and
c. in a manner which constitutes a violation or infringement of any right of person, firm or company, including but not limited to, rights of copyright or confidentiality.
8.2 Personal Use
You confirm that all pictures purchased using the Stanley Baker Studios Ltd Service are purchased strictly for your own personal use. If you wish to use any picture within the system for any other purpose, you agree to contact Stanley Baker Studios Ltd to negotiate terms.
8.3 Copyright
You acknowledge and accept that all copyright, trademarks and all other intellectual property rights in any part of the Service or any material supplied as part of the Service belongs to Stanley Baker Studios Ltd. You agree not to remove any copyright, trademark or any other intellectual property notices contained in the original material and/or from any Products purchased through the service.
8.4 Indemnify
You agree to indemnify Stanley Baker Studios Ltd against any claims, costs, expenses or legal proceedings caused as a result of your use of this Service in contravention of Clause 8.1.
